Send Email Block

The Send email block sends a custom email each time someone submits your form. Use it to alert teammates about new submissions, or to send respondents a confirmation using the email address they entered. Available on the Plus plan and above.

Adding the block

  1. Make sure your form has a success page. The block only sends after the form is submitted, so it lives on the success page
  2. On the success page, type /send or click the + button and select Send email from the Logic section
  3. Set up the recipients, subject, and body

If the block sits before the success page, the editor shows a warning asking you to move it.

Email settings

  • From: the sender name shown in recipients’ inboxes. Defaults to “FormGrid Notifications”. The sender address is always notifications@formgridmail.com and can’t be changed
  • To: click Add recipient to type an email address or pick an Email field from your form. Each block can have up to 5 recipients
  • Reply to: optional. When the email goes to your team, set it to an Email field so hitting reply answers the respondent directly. When it goes to respondents, set it to your own address so they can reach you
  • Subject and body: write them like any other form content. Type @ to reference answers from the form, so Thanks, @Name! becomes Thanks, Maria!

In the body, the special @all_answers reference inserts a table with the respondent’s full submission. It’s not available in the subject line.

Sending a confirmation to respondents

Add an Email field to your form and pick it as a recipient. The email is then sent to whatever address the respondent entered. Set Reply to to your own address so they can reach you by simply replying.

Sending conditionally

Place the block inside a condition to only send when it matters. A few ideas:

  • Route to the right person: add one block per department inside conditions on a “What is this about?” choice, so sales inquiries go to sales and support requests go to support
  • Alert on urgent submissions only: notify your team only when a respondent marks their request as urgent or reports a critical issue
  • Flag high-value leads: use a variable to score answers and only send an alert when the score passes a threshold
  • Opt-in confirmations: add a “Send me a copy of my answers” choice and only email respondents who checked it
  • Different emails for different outcomes: after a quiz or eligibility check, send one email to those who qualify and another to those who don’t

How it works

  • Emails are sent shortly after each submission
  • If a recipient is an Email field that was left empty or doesn’t contain a valid address, that recipient is skipped
  • Recipient addresses are never visible to respondents
  • Previewing your form doesn’t send any emails. Instead, submitting the preview shows which addresses would have received an email
  • Each form can contain up to 5 Send email blocks
  • Emails are only sent while your team is on the Plus plan or above. If you downgrade, published forms keep working but their Send email blocks stop sending
