Roles and Permissions

FormGrid uses roles to control what team members can do. There are two types of roles: team roles and workspace roles. Team and workspace roles are available on the Business plan.

Team roles

Team roles determine what a member can do across your entire team.

  • Owner — full control over the team, including billing and team deletion. Each team has exactly one owner.
  • Admin — can manage team settings, invite members, and manage workspaces.
  • Member — can access workspaces and collaborate on forms.
  • Guest — limited access, can only see workspaces they’ve been explicitly added to.

Workspace roles

Workspace roles control what a member can do within a specific workspace.

  • Full access — can view and edit forms in the workspace.
  • Comment-only — can view forms and leave comments, but can’t make edits.
  • Read-only — can view forms but can’t edit or comment.

Changing roles

To change a team member’s role, go to your Team settings and find the member in the list. To change a workspace role, open the workspace’s Settings and go to the Members section.

You can’t change the role of the team owner or remove them from the team.
